Cách tính khấu hao tài sản cố định theo Tháng / Ngày

SAP Business One cung cấp tùy chọn cho phép tính khấu hao tài sản cố định (TSCĐ / Fixed Asset) theo Tháng hoặc Ngày. Vậy 2 tùy chọn trên có gì khác biệt.

Lưu ý

Bạn đã kích hoạt chức năng quản lý TSCĐ trong cửa sổ Administration → System Initialization → Company Details → Basic Initialization →  Enable Fixed Assets.

Sau khi chọn hộp kiểm Enable Fixed Assets, trường Calculate Depreciation By có 2 tùy chọn Tháng/Ngày (Month/Day).

1. Cách tính khấu hao nên được sử dụng thế nào đối với từng loại

Khấu hao hàng tháng được phân bổ đều trong mỗi tháng, trong khi khấu hao hàng ngày được phân bổ theo số ngày chính xác cho mỗi kỳ. Khấu hao trên cơ sở hàng ngày được khuyến nghị cho định nghĩa năm tài chính không theo lịch, chẳng hạn như 4-4-5, 4-5-4, 5-4-4, hàng tuần, v.v.

 

2. Có thể chuyển đổi cách tính khấu hao giữa 2 phương pháp?

Thay đổi cách tính khấu hao chỉ thực hiện được trong trường hợp:

  • Không có giao dịch nào thuộc TSCĐ phát sinh trong năm tài chính.
  • Không có thay đổi nào trong các tham số của TSCĐ, chẳng hạn như: thay đổi về thời gian khấu hao (Useful Life).

Lưu ý: nếu các tham số của TSCĐ không bị thay đổi và người dùng có thể hủy (cancel) các giao dịch TSCĐ phát sinh thì hệ thống cũng cho phép đổi cách tính khấu hao (Depreciation Calculation).

 

3. Cách giải quyết xung đột giữa Depreciation Calculation và Quy ước khấu hao (Depreciation Convention) trong loại khấu hao (Depreciation Type)?

Pro Rata Temporis với tùy chọn exact daily base không được khuyến nghị áp dụng với khấu hao hàng tháng (monthly basis). Bởi vì trong cơ chế của monthly basis, hệ thống yêu cầu ngày đầu tiên và ngày cuối cùng của tháng là ngày bắt đầu và ngày kết thúc khấu hao. Nếu không, phần mềm sẽ tự thay thế cài đặt exact daily base bằng first day of the period hoặc last day of the period, ở chế độ nền.

 


Ví dụ 1: Calculate Depreciation By được thiết lập là Month.

1. Nếu chọn Exact Daily Base cho Acquisition, Subsequent Acquisition hoặc Transfer to Target Asset, theo mặc định khấu hao kế hoạch (planned depreciation) sẽ bị ảnh hưởng từ ngày đầu của kỳ (first day of the period) dựa theo ngày giao dịch phát sinh (Asset Value Date).

    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date) của chứng từ tăng nguyên giá (Acquisition) là 10.02.2021, ngày bắt đầu khấu hao (Deprciation Start Date) sẽ là 01.02.2021.
    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date) của chứng từ tăng nguyên giá bổ sung (Subsequent Acquisition) là 25.02.2021, ngày khấu hao cho phần bổ sung sẽ từ ngày 01.02.2021.
    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date)  của chứng từ chuyển TSCĐ (Transfer) là 10.02.2021, khấu hao của TSCĐ đích đến (Target Asset) sẽ bắt đầu từ 01.02.2021.

2. Nếu chọn Exact Daily Base cho Retirement hoặc Transfer from Source Asset, khấu hao kế hoạch sẽ bị ảnh hưởng bởi Asset Value Date của chứng từ retirement hoặc transfer. Nếu Asset Value Date thuộc nửa trước của kỳ, khấu hao sẽ ngưng ở cuối kỳ trước. Nếu Asset Value Date thuộc nửa sau của kỳ, khấu hao sẽ ngưng ở cuối kỳ hiện hành.

    • Nếu Asset Value Date của chứng từ Retirement (Not Partial) là 10.02.2021, TSCĐ sẽ được khấu hao đến 31.01.2021. Nếu là partial retirement, khấu hao sẽ được giảm từ 01.02.2021.
    • Nếu Asset Value Date của chứng từ Retirement (Not Partial) là 25.02.2021, TSCĐ sẽ được khấu hao đến 28.02.2021. Nếu là partial retirement, khấu hao sẽ được giảm từ 01.03.2021.
    • Nếu Asset Value Date của chứng từ Transfer (Not Partial) là 10.02.2021, TSCĐ nguồn sẽ được khấu hao đến 31.01.2021. Nếu là partial transfer, khấu hao sẽ được giảm từ 01.02.2021.
    • Nếu Asset Value Date của chứng từ Transfer (Not Partial) là 25.02.2021, TSCĐ nguồn sẽ được khấu hao đến 28.02.2021. Nếu là partial transfer, khấu hao sẽ được giảm từ 01.03.2021.

3. Với Calculate Depreciation Month, tính khấu hao của các kỳ kế toán không theo lịch năm với điều kiện tiền đề sau:

  • Năm tài chính kéo dài đúng 1 năm mặc dù không phải là năm dương lịch. Ví dụ: 26.12.2020 đến 25.12.2021
  • Mỗi kỳ phụ (sub period) dài đúng 1 tháng, mặc dù đó không phải là tháng dương lịch. Ví dụ: 26.12.2020 - 25.01.2021, 26.01.2021 - 25.02.2021, và …, cuối cùng 26.11.2021 - 25.12.2021. Nếu kỳ phụ được khai báo từ 26.01.2021 đến 27.02.2021, hệ thống sẽ nhận diện thành 2 kỳ và do vậy sẽ gây ra khấu hao gấp đôi cho kỳ này.

 


Ví dụ 2:  Calculate Depreciation By được thiết lập là Day.

1. Nếu chọn Exact Daily Base cho Acquisition, Subsequent Acquisition hoặc Transfer to Target Asset, khấu hao kế hoạch (planned depreciation) sẽ bị ảnh hưởng từ ngày bởi ngày chính xác (Exact day) dựa theo ngày giao dịch phát sinh (Asset Value Date).

    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date) của chứng từ tăng nguyên giá (Acquisition) là 10.02.2021, ngày bắt đầu khấu hao (Deprciation Start Date) sẽ là 10.02.2021.
    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date) của chứng từ tăng nguyên giá bổ sung (Subsequent Acquisition) là 25.02.2021, ngày khấu hao cho phần bổ sung sẽ từ ngày 25.02.2021.
    • Nếu ngày phát sinh giao dịch TSCĐ (Asset Value Date)  của chứng từ chuyển TSCĐ (Transfer) là 10.02.2021, khấu hao của TSCĐ đích đến (Target Asset) sẽ bắt đầu từ 10.02.2021.

2. Nếu chọn Exact Daily Base cho Retirement hoặc Transfer from Source Asset, khấu hao kế hoạch sẽ bị ảnh hưởng bởi Asset Value Date của chứng từ retirement hoặc transfer.

    • Nếu Asset Value Date của chứng từ Retirement (Not Partial) là 10.02.2021, TSCĐ sẽ được khấu hao đến 10.02.2021. Nếu là partial retirement, khấu hao sẽ được giảm từ 11.02.2021.
    • Nếu Asset Value Date của chứng từ Transfer (Not Partial) là 10.02.2021, TSCĐ nguồn sẽ được khấu hao đến 10.02.2021. Nếu là partial transfer, khấu hao sẽ được giảm từ 11.02.2021.

Lưu ý: Khi tính khấu hao theo ngày, số ngày trong thời gian khấu hao (useful life) hoặc thời gian sử dụng còn lại (remaining life) của tài sản phải bao gồm cả hai ngày Depreciation Start Date và Depreciation End Date.

Ví dụ: TSCĐ có Useful Life: 36 (months), Depreciation Start Date: 01.01.2020 và Depreciation End Date 31.12.2023, tổng số ngày của thời gian khấu hao là:  366+365+365=1096.

Khi bạn sử dụng công thức để tính toán số ngày, nhớ cộng thêm ngày bắt đầu và ngày kết thúc (Depreciation Start Date/Depreciation End Date).

3059451 - Depreciation Calculation for Fixed Assets - Month or Day

 

Symptom

SAP Business One provides the options to calculate depreciation on a monthly or daily basis.

This SAP Knowledge Base Article describes the difference between the two options and how the option Exact Daily Base in Depreciation Convention behaves in different scenarios.

Reproducing the Issue

Prerequisites:

You enabled the Fixed Assets solution under Administration → System Initialization → Company Details → Basic Initialization →  Enable Fixed Assets.

Scenario:

In Administration → System Initialization → Company Details, Basic Initialization tab, the Calculate Depreciation By field has valid values of Month and Day.

  1. What is the depreciation calculation used for?

There are two valid values for the option: Month and Day. Depreciation on a monthly basis is allocated evenly over each month, while depreciation on a daily basis is allocated over the exact number of days for each period. Depreciation on a daily basis is recommended for non-calendar fiscal year definition, such as 4-4-5, 4-5-4, 5-4-4, weekly, and so on.

  1. Is it possible to switch the depreciation calculation?

The change of Depreciation Calculation by is only possible if:

  1. No transactions are posted for the Fixed Asset in the current Fiscal Year.
  2. There is no change in the Fixed Asset parameter, for example: Change in Useful Life of a Fixed Asset in the Current Fiscal Year, as cancellation of a changed parameter is not possible.

NOTE: If there is no such parameter change in any of the Fixed Assets and the user is able to cancel the Fixed Asset transactions posted in the Current Fiscal Year, then it will be possible to change Depreciation Calculation by.

  1. How to settle the conflicts between Depreciation Calculation and Depreciation Convention in Depreciation Type?

Pro Rata Temporis with exact daily base is not recommended for depreciation on a monthly basis because the latter requires the first and last day of the month as the start and end day of depreciation. Otherwise, the application replaces the exact daily base setting with the first day of the period or the last day of the period, in the background.

Go to Administration → Setup →  Financials → Fixed Assets → Depreciation Types, where you can define Depreciation Convention for the following transactions:

  • Acquisition
  • Subsequent Acquisition
  • Retirement
  • Transfer from Source Asset (available on 9.0 PL08 and higher)
  • Transfer to Target Asset (available on 9.0 PL08 and higher)

The Depreciation Convention settings determine the time point at which the planned depreciation will be affected by the transactions. If you select Pro Rata Temporis for any of the transactions, the PR Temporis Type column appears and you have the option of selecting Exact Daily Base. The Exact Daily Base option takes effect only when Calculate Depreciation By is set to Day. (Administration → System Initialization → Company Details → Basic Initialization, Calculate Depreciation By: Day)

Scenario 1: Calculate Depreciation By is set to Month.

Administration → System Initialization → Company Details → Basic Initialization, Calculate Depreciation By: Month

  1. If you select Exact Daily Base for an Acquisition, Subsequent Acquisition or Transfer to Target Asset, by default the planned depreciation will be affected from the first day of the period (Asset Value Date) in which the transaction is added.
    • If the Asset Value Date of the Acquisition is 10.02.2021, the depreciation start date will be 01.02.2021.
    • If the Asset Value Date of the Subsequent Acquisition is 25.02.2021, the depreciation will increase from 01.02.2021.
    • If the Asset Value Date of the Transfer is 10.02.2021, the depreciation for the target asset will start or increase from 01.02.2021.
  1. If you select Exact Daily Base for a Retirement or Transfer from Source Asset, the planned depreciation will be affected by the Asset Value Date on which the retirement or transfer is added. If the Asset Value Date is in the first half of a period, the depreciation will stop or decrease by the end of the last period. If the Asset Value Date is in the second half of a period, the depreciation will stop or decrease by the end of the current period.
    • If the Asset Value Date of the Retirement (Not Partial) is 10.02.2021, the asset will be depreciated until 31.01.2021 (inclusive). If it is a partial retirement, the depreciation will be decreased from 01.02.2021.
    • If the Asset Value Date of the Retirement (Not Partial) is 25.02.2021, the asset will be depreciated until 28.02.2021 (inclusive).  If it is a partial retirement, the depreciation will be decreased from 01.03.2021.
    • If the Asset Value Date of the Transfer (Not Partial) is 10.02.2021, the source asset will be depreciated until 31.01.2021 (inclusive). If it is a partial transfer, the depreciation will be decreased from 01.02.2021.
    • If the Asset Value Date of the Transfer (Not Partial) is 25.02.2021, the asset will be depreciated until 28.02.2021 (inclusive). If it is a partial transfer, the depreciation will be decreased from 01.03.2021.
  1. With Calculate Depreciation By: Month, the depreciation calculation works for non-calendar posting periods with the following prerequisites:
  • The fiscal year is exactly one year long, although it is not a calendar year. For example: 26.12.2020 to 25.12.2021
  • Each sub period is exactly one month long, although it is not a calendar month. For example: 26.12.2020 to 25.01.2021, 26.01.2021 to 25.02.2021, and so on, until 26.11.2021 to 25.12.2021. If a sub period is defined as 26.01.2021 to 27.02.2021, it will be recognized as twoperiods and cause doubled depreciation for this period.

 Scenario 2:  Calculate Depreciation By is set to Day.

Administration → System Initialization → Company Details → Basic Initialization, Calculate Depreciation By: Day

  1. If you select Exact Daily Base for an Acquisition, Subsequent Acquisition or Transfer to Target Asset, the planned depreciation will be affected from the exact day (Asset Value Date) on which the transaction is added.
    • If the Asset Value Date of the Acquisition is 10.02.2021, the depreciation start date will be 10.02.2021.
    • If the Asset Value Date of the Subsequent Acquisition is 25.02.2021, the depreciation will increase from 25.02.2021.
    • If the Asset Value Date of the Transfer is 10.02.2021, the depreciation for the target asset will start or increase from 10.02.2021.
  1. If you select Exact Daily Base for a Retirement or Transfer from Source Asset, the planned depreciation will be affected by the Asset Value Date in the transaction.
    • If the Asset Value Date of the Retirement (Not Partial) is 10.02.2021, the asset will be depreciated until 10.02.2021 (inclusive). If it is a partial retirement, the depreciation will be decreased from 11.02.2021.
    • If the Asset Value Date of the Transfer (Not Partial) is 20.02.2021, the source asset will be depreciated until 20.02.2021 (inclusive). If it is a partial transfer, the depreciation will be decreased from 21.02.2021.

NoteWhen calculating depreciation on a daily basis, the number of days of an asset's useful lifeor remaining life should include both the Depreciation Start Date and Depreciation End Date.

For example, for an asset with a Useful Life: 36 (months), a Depreciation Start Date of 01.01.2020 and Depreciation End Date 31.12.2023, the total days of the asset's life is 366+365+365=1096.

When you use a formula to calculate the days, please make sure both Depreciation Start Date and Depreciation End Date are included.
